Southern California Conference (SCC) Volunteer Background Check Policy

To ensure the safety and well-being of our youth, the Southern California Conference (SCC) requires all volunteers and staff members to undergo a Live Scan background check. This policy applies to, but is not limited to, the following roles:

  • Coaches

  • Board Members

  • Photographers

  • Team Parents

We understand that some individuals may have had prior legal matters. An arrest or conviction does not automatically disqualify a person from volunteering. Each case is reviewed individually. However, any offense involving harm or attempted harm to a minor will result in immediate disqualification, regardless of the outcome of the case.

Required Documents and Forms

CalVECHS Waiver Agreement for Release of Criminal Offender Record Information Form

  • Be sure to circle "Volunteer" on the form. Applications without this selection will be rejected.

  • This completed form must be scanned and uploaded during the next step of the process.

  • The President of the organization may review the waiver agreement and is authorized to ask clarifying questions.

SCC Volunteer Application

  • Complete the SCC Volunteer Application specific to your city (Given by the city).

  • Upload the completed CalVECHS Waiver Agreement along with this application.

SCC-Live Scan Form-2025

  • All applicants must use the new form titled "SCC-Live Scan Form-2025" when visiting a Live Scan provider.

What is Live Scan and How Does It Work?

  1. Obtain the Live Scan Request Form from SCC.

  2. Visit a certified Live Scan provider (fees vary).

  3. Bring the completed form and a valid, unexpired, state-issued photo ID.

  4. Your fingerprints will be scanned and sent electronically to the California Department of Justice (DOJ).

  5. Results are typically returned within 2–3 business days, though timing may vary.

Important: Keep your Live Scan receipt as proof of completion.

Can I Volunteer While My Background Check is Processing?

No. You may not volunteer until the background check has been processed and approved.

Who Reviews Background Check Results?

An authorized SCC Records Custodian, recognized by the DOJ, will review and determine volunteer eligibility.

Probationary Approvals

Depending on findings, probationary approvals may be granted on a case-by-case basis.

After Approval

  • You will receive an SCC-issued photo badge valid for the current season.

  • The badge grants access to games, practices, and official events.

  • Badges must be returned to the Charter President at the end of each season.

Note: The badge remains the property of SCC.
Failure to return it when requested may result in a one-year suspension or permanent disqualification from all SCC activities.

Important Notice

  • Any volunteer who provides false or misleading information will be automatically disqualified.

  • All disqualified individuals will be reported to the State of California and any other relevant agencies, along with documented reason(s) for disqualification.
